Job Description
The Accounts Payable (AP) Manager is responsible for managing and overseeing the
accounts payable functions for Flex Films (USA), Inc., including invoice processing, vendor
payments, intercompany reconciliations, and month-end journal entries. This role requires
exceptional organizational skills, a detail-oriented approach, and the ability to handle complex
financial data.
Key Responsibilities:
Accounts Payable Management:
Review, process, and post supplier invoices in ERP systems, ensuring accuracy and
compliance with company policies.
Manage invoice approvals, including service invoices requiring GINs and non-PO
invoices.
Coordinate prepayments for shipments from Africa, tracking payments and related
invoices.
Verify and process corporate credit card expenses (e.g., American Express, Capital One),
ensuring all payments are accounted for and reconciled.
Execute weekly check runs, including printing checks and verifying payment details.
Keep all records and support documents as required by law.
Intercompany Reconciliation:
Post and reconcile intercompany invoices, prepare all intercompany reconciliation at
month end and send it to corporate.
Maintain accurate intercompany account balances and resolve discrepancies in a timely
manner.
Payroll Accounting:
Fortnight payroll accounting and reconciliation in coordination with HR.
Month end Payroll provision.
Fixed Asset Accounting:
CWIP, Fixed assets accounting and month end depreciation run.
Month-End Close Activities:
Prepare and post month-end journal entries for payables, payroll, petty cash reconciliation,
and accruals (e.g., packing materials).
Reconcile bank statements with ERP entries for payables and clear outstanding items.
Assist in closing purchasing, AR, and AP modules as part of the month-end close process.
Generate and review monthly AP reports to ensure accuracy and completeness.
Reconcile Purchase book with Raw material and trading purchase
Month end Border Stock accounting
All ERP closing activities as per protocol.
Audit Coordination and Compliance:
Support internal and external audit processes by providing documentation, reconciliations,
and explanations as required.
Ensure compliance with internal controls, company policies, and regulatory requirements.
Vendor and Stakeholder Collaboration:
Maintain relationships with vendors to ensure timely resolution of payment inquiries and
disputes.
Collaborate with the purchasing and logistics teams to match invoices, GINs, and POs
accurately.
Assist in resolving payment-related queries and discrepancies from internal and external
stakeholders.
Additional Duties:
Maintain and monitor petty cash accounts and reconcile discrepancies.
Assist with ad-hoc projects, special assignments, and process improvement initiatives.
Provide guidance and mentorship to junior team members, fostering a collaborative team
environment.
Decision-Making Responsibilities:
Analyze intercompany reconciliation variances and determine corrective actions.
Decide on adjustments to payables accounts and journal entries based on supporting
documentation.
Manage payment prioritization to ensure compliance with cash flow management
strategies.
